If you didn’t already know this, the most important part of networking happens after the first time you make that new professional contact. Meeting new people could be challenging for some, but maintaining those relationships through a proper follow up email is when it gets tough.

Meetings are great and networking events are fun, but don’t forget the next step: a perfect follow up e-mail that’ll help you stand out from all those other people in the crowd.

 

Because let’s face it–how many people do we really remember after attending a conference?

Sure, you may have added a hundred (or two) connections on LinkedIn, but chances are that if you try and remember who they are and what they do, you’ll come up blank.

Imagine this, though: you go to a regional business conference, shake some hands, and start a great conversation about linguini with Mr. Ravioli, a business owner who moonlights as a chef.

You talk for hours about pasta, which so happens to be your favorite dish. But sadly, once the conference ends, you part ways and forget all about the pasta–and the person behind it.

BUT.

A few days later, a zinger of an e-mail pops up. “Hi,” it says. You don’t usually read e-mails, but you read this one because the subject line is interesting.

As you read on, you remember Mr. Ravioli, and start wondering how you ever forgot about him. After typing a happy response back to him, he sends a calendar invite for lunch and boom, three weeks later, you’re working on a small side project together.

Why do you go to conferences and meetings? It isn’t to be sold to, we’re sure.

Rather, you–like everyone else in the world–crave real, human connection.

The best way to kickstart conversations that matter is to FOLLOW. UP.

Here, we’ve collected some top tips for you so that you can craft the perfect catch-up e-mail–one that people will actually open and read.

The key to enthralling readers is to stop trying so hard to sound like a professional. Using big words and overly formal language can sound salesly and robotic; you’ll fail to make that vital connection with the person on the other side of the screen.

On the other hand, if you try too hard to sound jokey or friendly before you’ve reminded them who you are and why you’re messaging, you may come off as a creep.

Like most things in life, the art of the perfect FUP e-mail (sorry, I just really like that acronym) requires balance.

Don’t start out right away with the sales pitch (if you’re trying to sell to them, that is).

Instead, offer some value of your own by recommending a book or sharing something that’s helped you.

To be safe, here’s a bare-bones template that you can use to set the stage:

  1. How you met: at what event?
  2. A takeaway from your conversation: what did you talk about? What did you learn? How was it relevant to your daily/business life? How are you relevant to them?
  3. Your request: If you want to meet in person, suggest a venue or activity (coffee is the standard) and a few dates.

Still want a few more tips? Here are 6 more to keep in mind (or read on if you just want to grab those templates and run).

#1 Let them know why you’re following up.

You can send an e-mail gushing about all the fun things you talked about at the meeting or conference, but if you don’t tell them why you’re e-mailing, they may forget to respond. It’s just basic business etiquette–to let your client know why you’re getting in touch.

If you’re familiar with SEO and content marketing, then you know how important the call-to-action is. You should also have some sort of call to action in your e-mail, prompting your receiver to take the next step.

#2 Sort your leads and contacts.

We all go to events for different reasons. It could be to grow your pool of leads or to make sales. (Or perhaps you just want to get a bunch of free stuff). Always keep your purpose in mind when you’re making your connections–it’s possible to end up with hundreds of business cards after a weekend conference, and if you don’t sort them, you may never look at them again.

If you just want to grow your network, sending a LinkedIn invitation to each new contact with a short explanation of who you are might be enough. But if you want to do things like increase brand awareness, close sales, or make introductions, then the FUP e-mail is necessary.

#3 Show them that you care + listen.

One of the golden rules of selling is to make it all about the customer. People love receiving help, so it’s important to make yourself available before you start warming them up.

If they love books, you can offer them a free pdf of a book you really enjoy–if they mentioned a certain food they like, why not send them a recipe?

Be personal–show them that you listened to the details that most other people would’ve passed over. Look back at your notes and make your FUP e-mail shine!

Other ways to wow them: personalize, personalize, personalize.

Use their name, and make sure it’s the right one (seriously: God knows how many copypasted e-mails we get all day, every day, addressed to the wrong person).

Personalization helps your recipient feel like they’re worth more than a spammy blanket blast.

If you’re sending a post-meeting e-mail, then this tip still applies. Many meetings focus on the problems that have to be solved and the progress that’s been made. Though that’s important, you should also spend time congratulating your employees for a job well done. Give them recognition to affirm the work they’ve completed

#4 Keep it direct and simple.

Aim for a maximum of three paragraphs for each follow-up e-mail.

One that’s too long will feel spammy and boring unless you had a whopper of a chat with them about a bunch of different topics. Even then, the truth is that we’re busy–and responding to really long e-mails can be exhausting.

Subject lines don’t have to be entire sentences: just enough to remind them of who you are is enough. Directness and simplicity is especially important in the first e-mail, where you’re making your second first impression

#5 Don’t be afraid to get on a call.

Sometimes we can’t make time to meet in person. Sometimes we’re simply too far away. In that case, a phone call can work wonders.

If it’s been a few days or weeks and they haven’t responded to your initial follow up, it’s perfectly okay to follow up again.

To up the ante: even if you’ve crafted the most perfect e-mail, your contact just might not reply.

They might not even open it. That minor rejection may sting a little, and that’s fine. But that doesn’t mean you should give up on them entirely.

You have their business card, right? Go call them.

The phone is your best friend, and a powerful one, especially in the frantic world of sales.

Maybe your e-mails just got buried; maybe they weren’t even delivered. By getting your person on a phone call, you can recreate the connection and

#6 Time it right.

At Toggl, we love timing things. And when you’re writing follow-up e-mails, it’s important to time the sending properly.

It can feel too hardcore to reach out to new connections right after the event. Some recommend waiting a week, others recommend sending that e-mail out within a few days. Personally, I often wait until the one week mark.

What do you know about your connections?

If they work in an office, chances are they’ll check their e-mail first thing in the morning.

Though people do also check their inboxes after lunch, a lot of e-mails get sent out then, and it’s more likely that your message will get lost.

Aim for mid-serious business hours when their mindset is still a bit fresher.

Another tip: take time to listen to the conversations you’re having.

If a person says that they’re going to go to a wedding the week after the conference, then don’t send them an e-mail the day before the wedding. Instead, make a big impression by following up afterwards (you can even ask how it went for bonus points).

It’s something I use with my own team, and it’s been quite successful.

I’d love to talk more about it or send some examples over if you like. It was great meeting you at [event name] and I hope we’ll see each other again soon.

I really enjoyed speaking to you at [event name]. I loved hearing your thoughts about [specific topic–feel free to include some flattery here]. Let me know if you’d like to chat about it over coffee sometime, I’d love to hear more about it!

Even though they’re simple, follow-ups are often neglected.

And this causes a much bigger problem than you think.

According to our own customer service research, only 24 companies (out of 1,000) attempted to send a follow up email to their customers.

That’s less than 3%.

But really… how important is it to follow up with your customers?

The truth is… it’s very important!

In fact, it’s become so important that poor follow-up is now cited as the biggest customer complaint.

A study by Harvard Business Review found that 56% of customers complain about poor follow-up.

While 48% of customers that experience a poor follow-up will go on to tell at least 10 people or more about their bad experience.

That’s right.

Something as simple as a follow-up ruins the entire customer experience, which, according to research by Walker2020, is one of top factors for doing business with a company.

So, to avoid customers turning their backs on you, you need to follow up.

But, how?

The best way to follow up? Email.

There’s are a wide range of ways you can follow up with your customers.

You can do it by phone, a letter, or even in person, but the most effective way is to follow up is by email.

Email is quick to send, you can easily track comments and feedback, and best of all, it’s scalable. Whether you follow up with a select handful of clients, or have thousands of customers to contact, you can do it all by simply using good old fashioned email.

But, how do you write a follow up email?

7 follow up templates for your customers

To help you send a follow up email to a prospective client or customer, we’ve prepared 7 templates that you can copy and start using in your business today, including two examples used by Apple.

Each template covers a specific part of the customer follow-up process, so you can choose the templates that best fit the needs of your business.

1. The ‘How Did We Do?’ follow-up email

Each time a customer contacts your support team, they expect a response.

So, it’s important that you solve their issue quickly and efficiently.

Once their issue has been solved, you can ask them how you did.

This template is designed to be sent to follow up with someone after they’ve contacted customer service and to make sure that they’re entirely satisfied.

When should you send a follow up email? Easy…when you feel you have done all you can to help them!

If you don’t have the option to include a ratings scale, then encourage your customers to respond by hitting ‘reply’.

Depending on your company’s style and tone of voice, you may wish to customize the signature to fit with your brand. For example, you can personalize the email and send it from the CEO, Head of Customer Service, or even the customer service agent that they originally dealt with. Alternatively, you can use your company name.

2. The ‘Survey’ follow-up email

A ratings scale is a great way to get high volume responses, but if you’re looking for more detailed feedback, you can include a link to a survey within the follow up email.

Depending on the type of questions you ask, this template gives you the opportunity to collect voice of customer feedback, and get real insight into what your customers thinks of your company, your products, and your customer service team.

If you are unsure what to ask your customers in the survey, here are five example questions:

  1. Are you happy with the service that we have provided?
  2. Was the service knowledgeable and helpful?
  3. Were you served quickly?
  4. Did we meet your expectations?
  5. What is the one thing we can do better?

While it’s possible to encourage your customers to reply directly to the email, you should use a survey tool to collect all the answers your customers give you. Google, Typeform and Survey Monkey all offer free tools, so creating a survey for your customers doesn’t need to be expensive.

3. The ‘Just Checking In’ follow-up email

This purpose of this email is to delight and surprise your customers.

Far too often, businesses sell a product and then leave their customers to it.

Have you ever thought that your customers might need help or support? Maybe they are unsure quite how a product works or need some more information. This template is a great way to build a longer-term relationship. Best of all, it shows them that you care.

Unlike the first two templates, this email should be sent from a customer service agent, not a company name or from the dreaded “Do Not Reply” email address. Sending this email from a person will help the customer feel appreciated and listened to, which in turn is more likely to lead to a response.

Rather than asking your customers to complete a web form or send an email to a separate email address ([email protected] is not a solution), encourage them to reply directly to your team.

To create an even greater customer experience, include context by adding the product or service they’ve purchased within the email. which you can import directly from your CRM software.

4. The ‘Anything else?’ follow-up email

It’s common to solve an issue, but not hear back from the customer.

What usually happens here is that your customer support team will mark the issue as solved and close the ticket. But, what happens if the customer hasn’t had a chance to read the email, or is just busy?

The “anything else” email acts as gentle reminder on the status of the conversation and is a great way to close off a conversation with a customer. By sending this email, it’s a polite way of giving the customer a chance to ask anything else and feel entirely satisfied with the interaction, rather than being cut off short, or worse, feeling abandoned.

For customer service software users, this email can be sent out automatically and from a company name. However, try to provide context to the original conversation, such as using the original subject line or unique case ID/ number, so there is no confusion or miscommunication.

This email should also state what will happen to their issue if the email is not responded to within a specific period.

5. The “Join us” follow-up email

One of our loyal readers, Lorie, left a comment asking me how she can follow up with a customer who has signed up to the freemium version of their product but has not yet subscribed to a paid plan.

For companies that attempt to convert freemium users into paying customers, you know this can be tricky!

Approaching any customer and asking for payment is delicate. But, if you don’t ask, then they may never become a paying customer and you lose out of new revenue. But if you are too aggressive with the ask, then you may scare the user off for good!

That’s why we have created the “Join us” template.

The “join us” template is a great way to follow up with a user who you haven’t communicated with recently. It’s a way to check in with them and offer assistance, should they need it. However, it also doubles as a way to get them to subscribe.

The second half of the follow up email is a suggestion to “join” your community/ customer base. By sending this email, you remind the user that there is a premium option of your product or service and emphasizing the benefits of what they get when they become a paying customer.

So, when to send this email?

Ideally, this email should be sent 3-6 months after a user has signed up and only be sent to users who are not on a paid plan. To increase the likelihood of converting them into a paying customer, I would segment this follow up email even further and send it based on active/ engaged users.

6. (and 7.) The “Thank you” follow-up email(s) from Apple

Apple is renowned for being a customer service leader (scoring 93 out of a score from 100).

So, when I reached out to their customer service team recently I had high expectations.

Of course, Apple being Apple, not only did they meet my expectations, but they far exceeded them!

Do you know what made their service so great?

The follow up email(s). That’s right, plural!

Within two days of contacting their customer service team, Apple had replied to my support request and followed up with my email  as I hadn’t had time to respond.

Yes, they followed up with me. It’s Apple who sent a follow up email after no response!

But, Apple didn’t stop there.

Best in class customer service goes above and beyond the norm.

Once I responded, thanking them for handling the issue quickly, they followed up again – to thank me for being nice.

How amazing is that?!

It’s hard to top this kind of service!

How to Write a Perfect Thank-You Note to Your Business Partners

There are 3.8 billion email users in the world. Pretty much any person that you want to get in touch with, you can do so via cold email.

In our recent blog post titled "Six simple steps to getting started with cold sales emails", we discussed the basics of cold emails and offered some simple benchmarks on what results to expect.

Many of you asked us to follow up the piece with some cold email templates. Today, we want to share five cold email templates that will generate warm leads and get you started on the right foot!

Every company, of course, is different but the below cold email templates and best practices will be a good starting point you. Keep in mind that the average business user gets 97 emails per day—these templates will help you stand out, get noticed, and elicit a response.

Step 1: The art and science of effective cold email subject lines

When it comes to subject lines, follow these guidelines:

  • Use their name in the subject line when it makes sense.
  • Make the subject line as specific as possible. The more personal the subject line, the higher the open rate.
  • If you wonder if it sounds too much like a "marketing email", then it does sound too much like a marketing email :)
  • Experiment with questions in subject lines.
  • Always deliver in your email what you promise in your subject line (if the disconnect is too big, you're going to get good open rates but bad responses).

Here are 4 cold email subject lines that get open rates of +35%:

Step 2: How to write effective cold emails

There are 2 approaches to cold emails used today:

  1. You're emailing someone high up in the organization asking for a referral down to the right person (aka Cold Calling 2.0).
  2. You're emailing the decision maker, directly pitching them to sign up, hop on a call, book a meeting or otherwise.

Let's get started with three cold email templates that ask for referrals within your target organization.

Cold email: Referral V1

Hi [first name],

My name is [my name] and I head up business development efforts with [my company]. We recently launched a new platform that [one sentence pitch].

I am taking an educated stab in the dark here, however based on your online profile, you appear to be an appropriate person to connect with ... or might at least point me in the right direction.

Step 3: How to set up and send cold emails

Are you ready to start utilizing these cold email templates? You can do so easily within Close by simply creating a new email template for each of these examples. Once created, you can edit and use them without having to retype them, copy and paste, etc.—saving you more time in your day. Here's how:

  1. First, sign up for a free 14-day trial of Close here (no credit card required).
